OFFICE MANAGER at an NGO

Role Description
This is a full-time on-site role for an Office Manager at ACVV Khayalethu Child and Youth Care Centre. The Office Manager will be responsible for overseeing administrative tasks, managing office equipment, supporting the Centre’s Director, and handling office administration duties on a daily basis in Port Elizabeth.
Qualification/Requirements
- Valid driver’s licence and own transport essential
- Computer Literacy: MS Office with advanced skills
- Very strong attention to detail
- Ability to multi-task
- Ability to process and handle confidential information
- Time Management – allocating time daily to ensure daily operations run smoothly
- People skills – must be able to communicate at all levels of the organisation
- Strong administrative skills
- Strong organising skills
- Good English writing skills
Duties include:
- Taking of minutes during staff meetings and other meetings, when needed
- Answering the phone and taking messages
- Liaison with the driver/handyman on daily activities
- Coordinating the driving of the day
- Renewing of vehicle licences
- Booking out money (Petty cash) and balancing of petty cash at month end
- Assisting the Director during functions
- Welcoming visitors at the Centre
- Daily running of the office
- Assisting the Director with project feedback and new applications
- Compiling of any other documentation, registers, templates, etc.
- Sending of emails on behalf of the Director
- Obtaining of quotes when needed
- Ordering the office stationery
- Completion of any leave related application forms
- Compiling of the yearly working register
- Compilation of the annual leave roster
- Buying of weekly electricity
- Receiving and documentation of donations
- Compiling content for newsletters and other communications
- Sorting all internet problems and contacting the relevant persons to assist
- Monthly 3rd Party Donation Register
- Assisting with transport, when needed
- Inspection of vehicles
- Booking out all keys of the Centre
- Co-ordinating all maintenance of property
- Co-ordinating upkeep of the swimming pool with factotum/handyman

- Mature individual
- Able to communicate in English and Xhosa

- Valid Code 8 driver’s licence
- NQF Level 4 Child and Youth Care Worker Qualification
- SACSSP registration
- At least 2 (two) years’ practical experience in the Child and Youth Care field.

- Proficiency in Sage Pastel, Sage Pastel Payroll and Microsoft Excel

The following position has become available at ACVV Khayalethu Child and Youth Care Centre:
TEACHER

The Centre’s Strong Foundations School provides bridging and remedial education on learner-appropriate levels to those boys in our care who need to master the foundational skills required for them to enrol successfully into mainstream schooling.
This teaching post asks the following of the appointed candidate:
- Efficient, intuitive and caring management of a multi-grade class in which each boy has unique educational requirements and developmental needs.
- The effective teaching and/or tutoring of all Primary School Subjects.
- A knowledge and understanding of the proficiency requirements of each Grade to ensure the boys are able to meet those of their age-appropriate grade upon entry into mainstream schooling.
- Proven experience in remedial teaching.
- Detailed and frequent reporting on the boys’ progress and future needs.
- An ability to work with the team of social workers and care givers at the Centre for best outcomes.
- Attendance at Khayalethu from Monday to Friday between 08h00 and 13h00.
These are the further minimum requirements of the position:
- A formally-recognised education qualification
- SACE registration
- Minimum 5 years’ experience
- Drivers’ Licence
- PDP Licence, an advantage
- Bilingual (English and Afrikaans)
